 Carrying out the day-to-day duties of front desk reception in order to ensure the smooth and efficient running of the switchboard, answering telephone calls in a timely and efficient manner, transferring calls as necessary , dealing with general enquiries, and/or referring clients to the appropriate leasing agents or division.

 Coordinating the delivery and pick up of business-related documents (checks, etc.) through appropriate courier companies on behalf of staff and division manager. Maintaining accurate records on these transactions and reconciling them with monthly statement of accounts, as provided and/ or requested by Accounts Division.
 Booking and tracking couriers; ensure necessary documentation is completed for outgoing consignments.
 Managing the reception area to ensure it is kept tidy and presentable.
 Managing & assisting staff with travel bookings.
 Basic accounting such as cash handling, invoicing, payroll & following up accounts receivable.
 Executing routine secretarial assignments (scanning, filing, book binding etc.).
 Managing business correspondence & other official company documents such as Salary Certificates, Salary Transfer Letters, Internal Memos, etc.
 Conference room bookings & coordination.
 Maintaining & updating employee, supplier & other company files.
 Providing administrative support to the Sales Managers by attending to sales inquiries, preparing local purchase orders & sales quotations.
 All tasks needed by the Managing Directors.
 General Administration duties including contract renewals/subscriptions, supervising office requirements such as stationeries, pantry supplies, couriers etc.
 Monitoring office expenses to make sure the cost savings plan is strictly implemented in the office and all the branches.
 Supervising the work of the admin team, to make sure that 100% support is given to the operation.
 Liaison with all the suppliers, including equipment suppliers, building maintenance etc.
 Organizing business travel, itineraries, and accommodation for Managing Directors.
 Preparing Minutes of the Meeting.
 Responsible in negotiating discounts to office suppliers and preparing LPO accordingly.
 Creating and modifying documents using Microsoft Office.
 Setting up and coordinating meetings and conferences.
 Updating, processing and filing soft/hard copies of all documents.
